In this article we want to cover a brand new setting we have enabled for our customer base who is integrating with the wonderful <a href="https://blog.econz.com/2021/03/econz-wireless-integration-with-adp.html">ADP system</a>. As you probably already know, we have developed multiple features that go hand in hand with ADP, such as <a href="https://blog.econz.com/2022/03/adp-temp-cost-code-transfer.html">Cost Code Transfer</a> and <a href="https://blog.econz.com/2022/03/adp-cost-code-custom-mapping.html">Cost Code Custom Mapping</a>; this time, we want to focus on the cases of employees that are already setup with both ADP and Timecard, but have come to finish their time with the current company.</p><p style="text-align: justify;">Of course, we all live in a time where employment fluctuation is a reality, and just as many new faces come to our organizations, others decide to look for greener pastures or even retire altogether. To make lives easier for the Management Staff (we are always thinking about you...!), we have come up with a feature that allows workers to remain synchronized to ADP for a duration of time after they are terminated in that system.</p><p style="text-align: justify;">With this, you will be able to configure this to match either one or two payroll periods, and Econz will automatically match exactly what payroll period you have already configured. The purpose of this is to ensure that their timesheet will be processed and that they are paid for their last timesheet period at termination.</p><p style="text-align: justify;">Let's see where to find this! First go to the Administration tab and look for the Integration section. Within it, you will find the "External Systems". We are back with more exciting details about what our wonderful application can do for you. This time, we want to talk about being able to display closed tasks. Using this feature, employees won't see the "Peanut Butter & Co." listed on their handset starting January 26th.</p><p style="text-align: justify;">Of course, that's not all, as you probably noticed by the title of this article... What about the times that a project needs to be extended or worked on due to additional customer requests? Well, instead of having the job expire and deleting and re-adding it to the system, you can just stretch that time for as long as needed without having to make any additional changes to the project list. Just select how many days you need, and you are good to go!</p><p style="text-align: justify;">To do this, go to the Administration tab and select Preferences. As always, we are thinking of ways to make your lives easier, so we thought: why don't we create an easy way to show all tasks that employees have on their application? As we all know, job costing can get very complex, and even more so on a company that is growing or constantly getting new projects, so we wanted to provide a better way to view the big picture of what is going on.</p><p style="text-align: justify;">Instead of going to the "Maintain Task/Customer List", which is better suited for managing jobs into teams or users, you will now be able to use the "Field Worker Task List Report"; and with just a few clicks, you will have all the necessary information.</p><p style="text-align: justify;">Let's check it out! There might be the case where an organization needs to restrict employees from sending timesheets with certain tasks. This is particularly useful in the cases where an audit needs to be done to the account and see what adjustments have been done to different rules, or features that might have been enabled or disabled.</p><p style="text-align: justify;">It may happen that someone might have inadvertently made a change that could have affected the processing of payroll, so going to this Change Log may give some insight as to what changes were done, so they can be reverted.</p><p style="text-align: justify;">To use this feature, go to the Administration tab and select Preferences. So, instead of putting every branch together under the same Timecard profile, each can have their own with their own configuration, which will enable the Payroll Department to <a href="https://blog.econz.com/2022/03/adp-cost-code-custom-mapping.html">synchronize with ADP</a> automatically.</div><div style="text-align: justify;"><br /></div><div style="text-align: justify;">To set this up, of course you will need to have an up and running integration already configured in your account. If you have, now you will be able to do it; you can pick one of the existing reports and customize the columns that will be shown when generated.</p><p style="text-align: justify;">We love this feature because it allows for more flexibility and in many cases, there might be some reports that could be perfect, but may have a couple extra columns that you may not need, so doing a couple of easy adjustments may be the key to higher productivity! </p><p style="text-align: justify;">Let's go ahead and see how it works! We already like the existing one very much, but want to have a more simplified view for some Managers to have a quick overview without having to scroll over.</p><p style="text-align: justify;">Next, we choose within the Report Type options, which will enable the report to be generated either as PDF or CSV files, or generating an HTML version that can be viewed directly from the Timecard portal.</p><p style="text-align: justify;">With this feature, you can even add your Organization Logo so that it will be added to the PDF file! With this report, you will be able to monitor your employees' movements by making use of the power of <a href="https://blog.econz.com/2021/04/uploading-smartfences-with-csv-file.html">Smart Fences</a>, which we <a href="https://blog.econz.com/2021/06/adding-existing-custom-smartfences-to.html">have covered</a> on several <a href="https://blog.econz.com/2021/07/appending-or-replacing-smartfences.html">previous occasions</a>. Every time an employee triggers an alert, Timecard will compare the distance that was setup in the Smart Fence itself, with the actual location that was reported by the staff members from the device.</p><p style="text-align: justify;"><br /></p><p style="text-align: justify;">This way, you will be able to tell how far or close they were to the expected address. Today we want to tell you about a new user type we have introduced to the <a href="https://blog.econz.com/2016/12/timecard-gps-learning-about-user-types.html">list of different access types</a> we provide to Web Portal Users. "Why so many?", you might ask? Well, flexibility is the name of the game. We are always thinking of ways to improve our system and provide as much flexibility to companies as possible, which means bringing different types of administrator rights depending on multiple needs.</p><p style="text-align: justify;">Sometimes you may want to have someone just manage timesheets and nothing else. Other times, you want just that but limit the visibility to certain teams or users. We even have an option to assign specific projects to Managers so they can approve timesheets for the projects they oversee, regardless of the team the user belongs to. With these examples, you can see the value of having different access options for different scenarios. It's the same as in an operating system like Linux, where you can manage permissions and ownership for users, groups, and all others to resources such as directories and files; by providing levels of access, you are enforcing a tighter security to your valuable company information.</p><p style="text-align: justify;">With that being said, the protagonist to today's tale is the "Junior Office Admin". As the title implies, these are a variant of the <a href="https://blog.econz.com/2018/04/office-admin-timesheet-signoff.html">Office Admin user type</a>, which, as you might remember, is able to approve timesheets for everyone, even being able to filter exactly whose timesheets they will approve. The main difference, and what makes it "junior" in this scenario, is that this user will not be able to remove users from the system; something that usually requires more rank or responsibility to perform.</p><p style="text-align: justify;">Setting it up is very easy! As we all know, these are very busy times, and sometimes we need some help from the systems we use to keep track of what's going on, so in the case of the Human Resources team, handling PTO requests promptly is critical.</p><p style="text-align: justify;">For this reason, Timecard GPS has a feature that will allow Leave Admins to receive emails as soon as a request has been sent from a device. This is intended for those companies whose employees work during the night, so it's expected that their shifts overlap two separate days.</p><p style="text-align: justify;">By using this new feature, our system will provide you with overtime and extra time calculations based on the whole shift that was clocked in, regardless of if the employees started one day and finished on the next one.</p><p style="text-align: justify;">The idea here is that in order to provide accurate timesheet information, if an employee worked overtime, for example, then that time would be allocated to the one day shift (taking the hours from the moment the system registered a clock in, until the clock out). Maybe the company underwent some staff changes and a new team will take some tasks that another was working on and will no longer need. Perhaps, a person in charge of managing tasks might have uploaded them to the wrong team and you just need a quick fix. If any of those scenarios sound familiar, this is the feature for you!</p><p style="text-align: justify;">We have added new functionality that will enable you to move tasks from one team to another. Originally, you would to need copy the tasks to the new team, and then delete the original tasks.
