Timecard GPS: Shared Device Multi-User Clock-in

We are very proud to announce a new feature that many of our customers will benefit from. This is especially useful for companies that have devices that need to stay in one place or are shared from employee to employee.

The whole setup is done through the application. First, the app needs to be already setup and clocked in for the option to be seen. Open the Menu and select Settings. On the next screen, open the Menu once again and tap on "Force Logon".


By default, this option will be unchecked, so all you need to do is check it and tap on Save.


When you go back, you will notice that the settings icons #1 (Device ID) and #2 (Password) are no longer shown.

The reason for this is that the application will ask you for this information the next time you clock in. So let's give it a try! On this example we have clocked out and then clocked back in, just as if an employee was passing the tablet to the next guy on the shift. When you tap on clock in, you will see a prompt asking you to enter your Device ID and Password, so go ahead and enter it and tap "Login" when you are ready:


The app will attempt to authenticate with the server and once it connects, you will get the disclaimer, just like when setting up the app with the standard method through the settings screen.


Any data that corresponds to your profile will be loaded (tasks, subtasks, GPS rules, custom fields, etc.) and then you will be ready to clock-in.

Timecard GPS: Sending Messages and Attachments

Have you ever been inside the web portal and needed to notify employees of something? Or maybe send them some crucial file that they need for the job?

Now you are able to send messages and attachments right from the web portal to the Timecard GPS application!

The first step is going to the Field Workers tab. You will notice that there is a "Send Message" button to the right of each employees' details.


To send a message to multiple users, click on the corresponding check boxes and use the icon located on the top right, as shown on the following image:


Next, you will enter the screen where you can type the message you are going to send, this is an example:


Once you are done, click on Send Message and that will take care of it! If you needed to send a file, the application can do that, too. You will notice there is another option below the text field where you type the message, called "or Send a file:", Just click on Choose File to locate the file you need to send.


Select the file and click Open:


Once this is done, click on the "Send File" button.


The message and/or file will be sent to the device.


You may have noticed that when a file is sent, the app gets a message which is more of a notification. To actually see the file, simply open the menu on the main Timecard screen and select "Message":


You will see a list of all the messages that have been sent to the specific device, the file we had previously sent is already there, so let's just tap its name to view the details. You will see the name of the file, the date and time when it was sent, you can then download the attachment to your device or delete it, if necessary.

Timecard GPS: Editing punches through the application

We have recently implemented a much requested feature that will enable your employees to edit any punches that need so.

This can easily be done in the application through the icon #4 "View History".


Once you select it, you will be able to see the history and an Edit button next to the entries that can be edited.


Tap on the punch that you need to correct and select whether you need to change the start or end times. Make sure the times are consistent, since the system won't allow times to overlap or any edits that will affect data integrity.


The next step is to type the reason for the change and hit "Save". Once you do this, you will notice that the app will update the time in the View History screen.


If your company uses team clock-in, you're in luck, too! Team leaders can open the Menu on the top right and will be able to select any of his/her team members. This will enable them to view that person's history and edit punches using the same process explained on this post.


And one more extra feature for Administrators, in case they need to keep track of all the changes, who made them, original and corrected times, there is a report that will provide all of this information, the "TimeCard Audit Report":
